"What's There for Me?"

Tried to compose an email to the professor asking him "please request for a purchase order number before the ordering and shipping occurs."
I asked L if it sounds harsh. He said, "maybe lay out a reason, letting him know the 'benefit' for doing it. i.e. it can expedite the ordering process." Actually, the fastest way to have the product is him calling the vendor - any process in the middle, say, telling me he needs a PO number, me asking the purchaser for a PO number, and the purchaser may need more information from the vendor, blah, blah, blah - delays the time to receive the product. And all the middle stuff is to comply the University Policy. Or maybe there's something for him and I just couldn’t think of due to the lack of imagination.
But I still have to do it, to “do my job.”
I am in the messenger.
University Policy – Me – Professor.
Even by using “just a little reminder” to tell/ ask/ inform/ beg a professor to follow the rules, I still cannot escaped from being shoot.
